Position Overview
We are seeking a dynamic and experienced Project Management Specialist to lead and harmonize structure for project management workflows organization-wide. Experience in the building industry is ideal, but not required.
This individual would facilitate project setup, kickoff, ongoing management organization-wide to support teams in the execution of successful projects. They would both inform the structure of, and report to, the newly developed Project Management Office (PMO) for prioritization and orchestration of organization-wide goals.
The Project Management Specialist will also be responsible for high level process management of our Building Certification program—a flagship program that is central to the day-to-day operations of over half of our team.
This role would primarily focus on internal communication and coordination, helping our growing team execute their roles more proficiently and effectively.
Core Responsibilities
Building Certification Program Process Management
- Building Review Tracking: Ensure smooth operation of building submission review tracking system
- Capacity Management: Help develop and support a capacity management process for a team of 10 reviewers, including workload planning, scheduling, and regular check-ins. Monitor capacity and proactively address bottlenecks to ensure timely, efficient delivery of reviews to customers
- Room to grow — over time, this role will assume full ownership of capacity management for this team and potentially others as the organization grows
Special Project Management
- Facilitate project setup, kickoff, and structure with project leads
- Projects may range from multi-year research projects and training curriculum updates to short-term workflow enhancements
- Support ongoing project management best practices with project leads
- Assist with notetaking during project meetings, identify action items, and update related project tracking tools
- Maintain project dashboards, documentation, and reports
Qualifications
Musts
- Organized and detail-oriented
- Self-motivated and efficient
- Proactive, clear communicator who takes initiative to keep projects moving—confidently shares updates, raises questions, and sends tactful reminders to remote team members.
- Competency in Google applications and MS Office
- Competency in Project Management & related software
- Tech-savvy, experienced and resourceful troubleshooter
- Comfortable supporting remote teams with frequent, proactive communication
Ideal
- CAPM (Certified Associate in Project Management) Designation
- Experience with CRM platforms (specific experience with Zoho CRM is a plus)
- Familiarity with Monday.com project management software
- Knowledge of change management and process improvement principles
- Experience with creating and reporting on KPIs or success metrics for project performance and process improvement efforts
- Some experience with building design and/or construction
